Studio Rental Terms and Conditions
HALIENTE CREATIVE HUB
Studio Rental Terms and Conditions
Studio 1 | Studio 2 | One-Time Bookings
These Terms and Conditions apply to approved one-time rentals of Studio 1, Studio 2 or both studios at Haliente Creative Hub, 1678 Barrington Street, Halifax, Nova Scotia. They do not replace the separate Haliente Resident Space-Use Licence Agreement or Haliente Lounge Rental Agreement.
1. Booking Request and Approval
All studio bookings are subject to availability and approval by Haliente.
Submitting a request does not guarantee a booking, date, time or specific studio. A booking becomes confirmed only when Haliente approves the request, confirms the final price, receives any required agreement or insurance documents, and receives full payment or the required deposit.
Haliente may request additional information before approval, including intended use, number of participants, age range, expected audience size, equipment requirements, insurance information, setup and teardown requirements, and whether food, alcohol, photography, filming or special activities are involved.
2. Available Studios and Pricing
All prices are before applicable taxes. Availability, access requirements, staffing, cleaning, equipment and event services may affect the final quote.

3. Included with a Standard Studio Rental
A standard studio rental includes access to the assigned studio, mirrors, sound system, standard lighting, HVAC, washroom access and the common areas included with the approved booking.
The booking includes only the approved studio and time period. Equipment, rooms, furniture and services not specifically included are not included.
Additional setup, teardown, cleaning, staffing, equipment, security or production support may be quoted separately.
4. Payment
All one-time studio bookings must be requested and paid through the applicable TidyCal booking link, unless Haliente approves another payment arrangement in writing before payment.
Full payment or the required deposit must be processed through TidyCal before the booking is confirmed.
The customer is responsible for the rental fee, applicable taxes, approved additional services, damage or excessive-cleaning charges, overtime, payment-processing charges where applicable and any third-party costs approved by the customer.
A booking is not confirmed by email, text message or verbal conversation alone. The TidyCal confirmation and payment receipt confirm the booking and payment record, subject to these Terms and any additional written approval requirements.
If a payment fails or becomes overdue, Haliente may cancel the booking, suspend access and retain any non-refundable amount allowed under these Terms.
5. Booking Time, Setup and Overtime
The booked time includes arrival, setup, participant entry, the activity, teardown, cleaning and departure.
Customers may not arrive early or remain late unless additional time has been approved and paid for.
Additional time must be approved before use and will be billed at the applicable hourly rate. Studio 1 additional time is $45 per hour. Studio 2 additional time is $40 per hour.
If a customer remains after the approved end time without permission, Haliente may charge the applicable additional-hour rate and related staffing or security costs.
6. Cancellation and Rescheduling
More than 72 hours before the booking: the customer may request one reschedule or account credit, subject to availability. The replacement booking should normally be used within 30 days. Cash refunds are not guaranteed and may be subject to processing or administrative charges.
Less than 72 hours before the booking: the booking is non-refundable and cannot be rescheduled unless Haliente agrees otherwise in writing.
No-show: a no-show is treated as a late cancellation. No refund or credit will be provided.
If Haliente cancels a booking and cannot provide a reasonable alternative, the customer will receive a credit or refund for the affected prepaid rental amount.
7. Permitted Activities
Approved activities may include dance classes, rehearsals, practices, workshops, private lessons, auditions, photoshoots, fitness and mobility sessions, theatre and performance work, meetings, cultural gatherings, creative projects and small approved events.
Written approval is required before using the space for public performances, ticketed events, alcohol-related activities, food service, filming or commercial production, activities involving minors, aerial work, lifts, tumbling, acrobatics, martial arts, smoke, fog, flame, special effects, large equipment or unusual noise or occupancy requirements.
The customer must not change the approved activity without Haliente’s written approval.
8. Participant and Instructor Responsibility
The person or organization making the booking is responsible for all instructors, employees, contractors, volunteers, participants, guests, parents, spectators and suppliers connected to the booking.
The customer is responsible for participant communication, registration, attendance, payments, refunds, qualified instruction, supervision, emergency contacts, waivers where appropriate, accommodations, safe use of the space and conduct of all people attending.
The customer must remain present or designate a responsible adult during the booking.
9. Minors and Vulnerable Participants
Any booking involving minors must be disclosed during the request process.
The customer is responsible for parent or guardian consent, emergency contacts, appropriate supervision, safe pickup and drop-off, screening or background checks where required, participant-safety policies and applicable safeguarding requirements.
Haliente may require additional documentation, insurance or staffing before approving a booking involving minors.
10. Insurance
Haliente may require proof of commercial general liability insurance before the booking. Insurance may be required for public classes, ticketed events, workshops, activities involving minors, higher-risk activities, large groups, commercial productions or activities involving special equipment.
The required coverage amount and endorsements will be determined by Haliente and its insurer based on the activity. The customer must provide a current certificate and any requested additional-insured endorsement.
The customer remains responsible for its own commercial general liability, professional liability, equipment, workers’ compensation or WCB, automobile, participant and business insurance as appropriate.
The customer must immediately notify Haliente of any incident, claim, serious injury, regulator contact, policy cancellation or material change in coverage.
A participant waiver does not replace insurance, safe operation or appropriate supervision.
11. Alcohol, Food and Bar Service
Standard studio rentals do not include alcohol or bar service.
The customer may not bring alcohol onto the premises, sell or serve alcohol, access bar stock, use bar systems, advertise an alcohol-inclusive event or represent that it operates the Haliente bar.
Any event involving alcohol, food service or the lounge requires separate written approval and may require additional staffing, insurance, licensing and service fees.
Only Haliente’s authorized licensee or operator may manage alcohol service.
12. Equipment and Room Use
The customer must use the studio, mirrors, sound system, furniture and other equipment responsibly.
The customer may not move or remove mirrors, install fixtures, attach items to walls or ceilings, use adhesives or tape without approval, bring in large equipment, use confetti, glitter, candles, smoke or flame, change lighting or sound settings beyond normal use, access equipment in another studio or use the lounge or another room without approval.
Any special equipment must be approved before the booking. The customer is responsible for damage caused by its instructors, participants, guests, contractors or suppliers.
13. Cleaning and Damage
The studio must be returned to the condition in which it was found.
Before leaving, the customer must remove garbage, return furniture and equipment, turn off sound equipment, turn off lights where instructed, remove personal property, clean spills, report damage and complete the required lock-up procedure.
Haliente may charge for excessive cleaning, damage, missing equipment, lost keys or access devices, unauthorized overtime, special disposal, repairs or security and staff response.
The customer may not deduct these costs from the rental payment.
14. Access, Keys and Security
Access is limited to the approved booking window.
Keys, codes and access devices are for the approved customer only, may not be copied or shared, must be returned when requested and must be reported immediately if lost or compromised.
The customer must ensure that all participants and guests leave the premises by the end of the approved booking time.
Haliente may enter the studio for safety, maintenance, inspection, emergency response or operational reasons.
15. Photography, Filming and Privacy
Photography and filming must be disclosed during the booking request.
The customer is responsible for obtaining appropriate consent from all people appearing in photos or recordings.
The customer may not record another group or program, film in restricted areas, publish images of guests without consent or interfere with another booking.
Use of the Haliente name, logo, photographs or brand treatment requires approval.
16. Promotion and Use of the Haliente Name
The customer may state that its approved class, workshop or event is taking place at Haliente Creative Hub.
The customer may not imply that it owns Haliente, operates Haliente, is a partner, employee or agent of Haliente, or that Haliente guarantees enrollment, attendance or program results.
Haliente may choose to promote a customer’s activity, but promotion is not guaranteed unless included in a separate written agreement.
Use of Haliente’s logo, photographs, name treatment or promotional materials requires approval.
17. Independent Customer Relationship
The customer operates independently and is responsible for its own business, employees, instructors, participants, payments, refunds, taxes, insurance, advertising and legal obligations.
The booking does not create a partnership, joint venture, employment relationship, agency relationship or revenue-sharing arrangement between the customer and Haliente.
The customer has no authority to bind Haliente or make commitments on its behalf.
18. Prohibited Conduct
Prohibited conduct includes violence or threats, harassment or discrimination, illegal activity, smoking or vaping indoors, illegal drugs, unauthorized alcohol, weapons, unsafe activity, property damage, unauthorized access, misleading advertising, excessive noise, blocked emergency routes, unauthorized subletting and activities outside the approved booking purpose.
Haliente may end a booking immediately if conduct creates a safety, legal, insurance, licensing or property risk.
19. No Subletting or Transfer
The customer may not transfer, resell, share or sublet the booking to another person or organization without written approval.
A different instructor, organization or event operator may use the space only if Haliente has approved the change in advance.
20. Liability and Indemnity
The customer is responsible for loss, damage, injury, claims, costs and expenses arising from its use of the premises, instructors, contractors, participants, guests, equipment, program, event, breach of these Terms, negligence or misconduct.
The customer agrees to indemnify Haliente and the property owner, to the extent permitted by law, against third-party claims arising from the customer’s booking, except to the extent caused by Haliente’s own negligence or wilful misconduct.
These provisions must be reviewed by a Nova Scotia lawyer and Haliente’s insurer before publication.
21. Termination and Suspension
Haliente may suspend or terminate a booking if payment is overdue, the customer provides inaccurate information, the activity differs from the approved use, required insurance is not provided, these Terms are violated, damage occurs, or the customer creates a safety, licensing, insurance or property risk.
If a booking is terminated because of the customer’s breach, no refund is required.
22. Privacy and Records
Haliente may collect and use booking information for scheduling, payment, communication, safety, insurance, administration and legal compliance.
The customer must handle participant information responsibly and must not share it with Haliente unless required for booking administration, safety, approved promotion or legal compliance.
23. Acceptance
By submitting a booking request, the customer confirms that they have read and accepted these Terms and Conditions.
For TidyCal, the customer must check the following box: “I have read and agree to the Haliente Studio Rental Terms and Conditions. I understand that my booking is not confirmed until Haliente approves the request and payment is received.”
For higher-risk, public or commercial bookings, Haliente may require a separate signed agreement, insurance certificate or event contract.
24. Governing Law
These Terms are governed by the laws of Nova Scotia and the applicable laws of Canada.
